How to set up a ClassLink Data Sync
Please note that this feature is only available to District Administrator accounts in Planbook.
Planbook allows you to select schools, teachers, and school years to automatically sync via ClassLink Roster Server. To set up ClassLink Sync from your Planbook account:
- Click the User Settings icon in top-right menu.
- Select the Integrations option.
- Click the Integrate ClassLink button.
- Under Integrate Classlink, enter your Roster Server Endpoint and Keys. Note that you can locate this information in your ClassLink Roster Server Console.
- Once all information has been entered, click Continue.
- Under Org Mapping, select the schools to sync between your SIS and Planbook.
- Use the ClassLink Org Name column (left side) to select each school you wish to sync.
- Use the Planbook Org Name column (right side) to then choose the matching school in Planbook. We will attempt to locate the best match, based on schools currently in Planbook, but you can also use the dropdown to select any existing Planbook school, or select Add to create a new school in Planbook.
- Once the appropriate schools have been selected, click Continue.
- Under Teacher Mapping, select the teachers to sync between your SIS and Planbook.
- Use the ClassLink Teacher Name column (left side) to select each teacher you wish to sync.
- Use the Planbook Teacher Name column (right side) to then choose the matching teacher in Planbook. We will attempt to locate the best match, based on teachers currently in Planbook, but you can also use the dropdown to select an existing Planbook teacher, or select Add to create a new teacher account in Planbook.
- Once the appropriate teachers have been selected, click Continue.
- Under School Year Mapping, select the school year(s) to sync between your SIS and Planbook. Note that selecting a school year is NOT required, and we recommend you only select a school year when you wish to also roster classes and students from your SIS into Planbook. We also recommend that you select only ONE school year for mapping, as each selected year will be added to all teacher accounts.
- Once the appropriate school year has been selected, click Continue.
- Under Sync Time, select a time for the automatic daily sync to occur. Note that you can also run additional syncs manually when needed.
- Once a sync time is selected, click Finish.
- Review and agree to all changes to continue. Please note that any teachers added via the sync will also be added to your school account for billing purposes
- Click the Save (checkmark) icon in top-right menu to save your changes.
